1. Who We Are

MyProBook is an online and mobile platform operated by MY PRO BOOK INC. (“MyProBook,” “we,” “us,” or “our”). MyProBook helps individuals and organizations find, save, organize and book service providers; plan jobs, projects and events; manage related records; and connect with service providers. MyProBook also provides service providers with business profiles, lead and customer-management tools, subscriptions, SmartTap™ digital business cards, promotional tools and integrations

This Privacy Policy explains how we collect, use, disclose, retain and protect personal information when you use myprobook.com, our mobile applications, SmartTap™, connected integrations and any related products, communications or services (collectively, the “Platform”).

2. Scope and Applicable Laws

We handle personal information in accordance with applicable Canadian privacy laws, which may include British Columbia’s Personal Information Protection Act (“BC PIPA”) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (“PIPEDA”) and substantially similar provincial legislation.

This Policy applies to Platform users, service providers, business representatives, website visitors, applicants and other people who interact with us. It does not govern a service provider’s independent handling of personal information outside the Platform. Service providers are responsible for their own privacy practices and legal obligations.

3. Personal Information We Collect

We collect only information that is reasonably necessary for the purposes described in this Policy. Depending on how you use the Platform, this may include:

  • Account and identity information: name, email address, telephone number, login credentials, account type, language, profile photograph and communication preferences.
  • Business and provider information: business name, contact information, address, service areas, industries and categories, licences or certifications, portfolio images, descriptions, availability, pricing approach, social links and information used to confirm business ownership or profile details.
  • Search and location information: city, province, postal code, approximate or precise location when you choose to enable location services, search terms, categories, filters and saved professionals.
  • Requests, bookings and communications: service requests, quote or estimate information, appointment and booking details, messages, call or contact actions, status updates, reviews, complaints and support correspondence.
  • Planning and service records: project and event names, tasks, timelines, budgets, guest or participant details, vendor assignments, estimates, invoices, payment records, warranties, photographs, notes and documents you choose to upload.
  • Subscription and transaction information: plan selection, billing status, purchase history and limited payment-related information. Subscription payments may be processed by a third-party payment processor; we generally do not receive complete payment-card numbers.
  • SmartTap™ information: profile opens, QR-code or NFC interactions, save-to-ProBook actions, referral information and related device or engagement data.
  • Integration information: information you authorize us to access or exchange through services such as Google Calendar, Microsoft 365 and QuickBooks, including calendar events, contacts, estimates, invoices or related account data, according to your chosen settings and the permissions shown during connection.
  • Device and usage information: IP address, browser and device type, operating system, app version, identifiers, referring pages, pages viewed, actions taken, dates and times, crash data and security logs.
  • Marketing and survey information: marketing consent, campaign engagement, preferences, survey responses, and promotion participation.
  • Career information: resume, cover letter, employment history, education, contact information and other information submitted with an application.
  • Other information: information you voluntarily provide or that we are permitted or required by law to collect.
4. How We Collect Information

We collect personal information directly from you when you create an account, list a business, complete a profile, search, save or book a professional, submit a service request, plan a project or event, upload a document, connect an integration, use SmartTap™, contact support, apply for a position or otherwise use the Platform.

We may also collect information automatically through cookies, software development kits, local storage, logs and similar technologies; from another Platform user or service provider when they interact with you or add information relevant to a shared transaction; from connected services you authorize; and from lawful public or commercial sources used to create, update or verify business listings.

5. How We Use Personal Information

We may use personal information to

  • • Create, authenticate, administer and secure accounts and business profiles.
  • • Provide search, save, quote, estimate, booking, messaging, planning, document-management, SmartTap™ and related functionality.
  • • Match service requests with relevant providers and enable users and providers to communicate.
  • • Synchronize information with Google Calendar, Microsoft 365, QuickBooks and other services you connect to.
  • • Process provider subscriptions and administer plans, features, renewals and billing records
  • • Send transactional messages, confirmations, reminders, security alerts, service notices and customer support communications
  • • Send marketing or promotional communications where we have consent or are otherwise permitted by law, and record or honour unsubscribe requests.
  • • Personalize results, recommendations and Platform content based on location, saved professionals, preferences and activity.
  • • Verify contact information, business ownership and profile information; prevent fraud, misuse, spam and security incidents; and enforce our agreements.
  • • Analyze performance, troubleshoot problems, improve accessibility and usability, develop new features and produce aggregated or de-identified insights.
  • • Comply with legal obligations, respond to lawful requests and establish, exercise or defend legal claims.
  • • Carry out any other purpose that we identify when collecting the information, with consent where required.
6. Consent and Your Choices

We seek meaningful consent where required. The form of consent may vary depending on the sensitivity of the information and the circumstances. By providing information or enabling a feature, you consent to the collection, use and disclosure described at that time and in this Policy, subject to choices available in the Platform and applicable law.

You may withdraw consent, change permissions or disconnect an integration at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may prevent us from providing features that require the information. Disconnecting an integration stops future synchronization but may not automatically delete information previously imported into MyProBook or exported to the connected service.

You may disable device location, camera, contacts, photo-library or notification permissions through your device settings. Some features may not work correctly without those permissions.

7. When We Share Personal Information

We do not sell or rent personal information. We may disclose information in the following circumstances:

  • Users and service providers: When a user requests a quote, books, messages, saves or otherwise contacts a provider, we share information reasonably necessary for that interaction. Information displayed on a public provider profile is visible to visitors and users.
  • Service providers acting for us: We use vendors for hosting, storage, security, analytics, communications, maps, location services, customer support, payment processing and other operations. They may access information only as necessary to provide services to us and must protect it under contractual or legal obligations.
  • Connected services: When you connect Google Calendar, Microsoft 365, QuickBooks or another integration, we exchange information according to your instructions, settings and permissions. The connected service’s privacy policy also applies to its handling of information.
  • Business transactions: Information may be disclosed in connection with a proposed or completed financing, reorganization, merger, acquisition, sale or transfer of all or part of our business or assets, subject to appropriate confidentiality and legal protections
  • Legal, safety and enforcement purposes: We may disclose information where required or permitted by law, legal process or regulatory authority, or where reasonably necessary to protect rights, safety or property; investigate fraud or security incidents; collect amounts owing; or enforce our agreements.
  • With consent: We may disclose information for another purpose with your consent.
8. Public Profiles and User-Provided Content

Provider profiles may be publicly accessible and may appear in search engines. Do not post personal information that you do not want made public. Reviews, portfolio materials and other content may identify the person or business that submitted to them.

If you upload or enter personal information about another person—such as a guest, employee, client, family member or vendor—you are responsible for having the authority and any consent required to provide that information and to instruct us to process it.

9. Payments

Users generally pay service providers directly, and MyProBook is not the payment processor or intermediary for those service transactions. Providers are independently responsible for their prices, invoices, taxes, refunds and payment practices

Payments for MyProBook subscriptions, SmartTap™ products or other purchases may be handled by third-party payment processors. Those processors collect and use payment information under their own privacy notices. We may receive transaction identifiers, card type, billing contact information, payment status and limited account information needed to administer the purchase.

10. Cookies, Analytics and Similar Technologies

We and our service providers may use cookies, pixels, local storage, software development kits and similar technologies to keep you signed in, remember preferences, operate features, measure traffic and performance, prevent fraud and understand how the Platform is used.

Where required, we will request consent for non-essential technologies. You may manage browser cookies and mobile device permissions through your settings. Blocking some technologies may affect Platform functionality.

11. Marketing Communications

With consent or as otherwise permitted by Canada’s anti-spam legislation, we may send news, offers and promotional messages. You can unsubscribe through the link in an email, adjust available account preferences, or contact us. We may continue to send non-promotional messages necessary to operate your account, complete a transaction, provide support or protect the Platform.

12. Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Policy, to provide the Platform, meet legal, accounting and reporting obligations, resolve disputes, prevent fraud and enforce agreements. Retention periods vary based on the type of information, account status, sensitivity and legal requirements.

When information is no longer required, we securely delete, destroy or de-identify it, subject to backup cycles and legal holds. De-identified or aggregated information that can no longer reasonably identify an individual may be retained and used for legitimate business purposes.

13. Storage and Cross-Border Processing

MyProBook and its service providers may store or process personal information in Canada, the United States or other jurisdictions. Information processed outside your province or Canada may be subject to the laws of that jurisdiction and accessible to courts, law-enforcement or national-security authorities in accordance with applicable law. We use contractual, organizational, and technical measures designed to protect information handled by service providers.

14. Security

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, which may include access controls, encryption, monitoring, backups, staff or contractor confidentiality obligations and incident-response procedures. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

You are responsible for keeping your credentials confidential, using a strong and unique password, maintaining control of your devices and promptly notifying us of suspected unauthorized account access.

15. Privacy Incidents

If a privacy or security incident creates a real risk of significant harm or otherwise triggers a legal notification requirement, we will investigate and notify affected individuals and regulators as required by applicable law.

16. Access, Correction, Portability and Deletion

Subject to applicable law, you may request access to personal information we hold about you, ask how it has been used or disclosed, request correction of inaccurate or incomplete information, or request deletion of your account and personal information. Some information may be retained where required or permitted by law, needed to complete transactions or resolve disputes, or contained in records that must be preserved.

You may update certain information through your account. For other requests, contact the Privacy Officer using the details below. We may need to verify your identity before completing a request. We will respond within the time required by applicable law and explain any lawful refusal or limitation.

17. Children and Minors

The Platform is not directed to children under 13, and we do not knowingly permit them to create accounts. You must be at least 18 years old, or the age of majority in your province or territory, to enter into provider subscriptions or other binding commercial agreements through the Platform. If we learn that we collected personal information from a child without legally valid authorization, we will take reasonable steps to delete it.

18. Third-Party Links and Provider Practices

The Platform may contain links to provider websites, social media pages, app stores and third-party services. We do not control their privacy or security practices. Review their policies before providing information. A provider’s collection, use or disclosure of information outside MyProBook is governed by that provider’s own practices and applicable law.

19. Changes to This Privacy Policy

We may update this Policy periodically. We will post the revised version with a new “Last Updated” date and provide additional notice where required by law or where changes are material. Your continued use after the effective date of an update means the revised Policy applies, subject to any consent required by law.
